Your platform business is booming, but every new country, every additional partner and every price adjustment causes nervousness in IT and Finance. Contracts are in different systems, revenue shares are calculated in tables and monthly reporting feels like a feat of strength.

This is exactly where many platform providers end up when the IT landscape does not grow as quickly as the business model. Growth is then no longer just a cause for celebration, but becomes an operational burden.

In this article, we show why traditional ERP solutions often become a brake on platform growth. We explain what modern platform companies really need and how you can scale with SAP Cloud ERP and platform-business4cloud without getting bogged down in IT chaos. As a practical example, we take a look at Holidu, a fast-growing platform provider from the travel industry.

The typical barriers to growth in the platform business

Many platform companies deliberately start out lean. There is a core system for the product, a financial system and a few specialized solutions for topics such as bookings, stores, consumption, billing, reporting or CRM. Many things still work well in this phase.

The picture is changing as the company grows. More and more partners are being added who want to be remunerated differently. New business models are emerging, such as subscriptions, usage-based fees or hybrid models. International expansion brings additional tax, legal and currency requirements. At the same time, the number of transactions is increasing and must still be properly recorded, checked and evaluated.

In practice, we then see recurring patterns. Billing runs in a separate billing system, the contract logic is in the platform core, accounting in the ERP, reporting in tables and other evaluation tools. Data is exported, transformed and manually reconciled. This costs time and creates risks.

To make matters worse, there is a lack of focus on key management issues:

  • Which contract and commission models have the greatest impact on margins and contribution margins?
  • Which partner programs really scale efficiently, and where do hidden costs arise due to special cases, manual clarifications or reversals?
  • How does your margin change when you adjust commissions, fees or discount logic?

Many answers only come with considerable additional effort, sometimes weeks after the end of the month.

Increasing internationalization also increases the pressure on IT. Every new region, every special tax feature and every additional pricing model triggers adjustments. In monolithic legacy systems or highly individualized solutions, this quickly becomes complex, expensive and risky. At the same time, experts who know all of these in-house systems in detail are rare. If someone drops out or leaves the company, knowledge gaps arise that can jeopardize ongoing operations.

Of all things, the key to success, namely growth, is therefore reaching the limits of the IT basis. This is precisely where a modern cloud ERP from SAP comes in.

What platform providers need now

Platform companies are often internationally active, work with many partners and have individual contract models. They therefore need an ERP system that can do more than the classic processes of order, invoice and booking.

At its core, it is about four skills.

Agility: New business models, pricing models or partner programs should not trigger a major project every time. You need flexible processes and configurations that can be adapted without destroying the standard.

Integration: A platform rarely stands alone. The core system, billing engine, CRM, data warehouse and payment service provider must be properly connected. A modern cloud ERP must not only tolerate APIs and events, but actively support them.

Flexibility: It should be possible to map different client structures, variable sales distributions, multi-level partner networks and individual contracts without individual programming becoming the norm.

Scalability: If the transaction volume increases significantly, the ERP must not become a bottleneck. Performance, data storage and reporting must grow with it without the need for additional infrastructure projects.

And increasingly crucial: process intelligence with AI. Because as soon as volumes and complexity increase, it is not only “more automation” that becomes important, but also the rapid identification of deviations, risks and potential – before they become expensive.

Cloud ERP is therefore not just a technical upgrade. It becomes the basis for ensuring that your platform business grows in a predictable, transparent and manageable way instead of being overtaken by your own IT.

SAP Cloud ERP as an enabler for growth

With SAP Cloud ERP, SAP provides precisely this basis. The solution is part of the SAP portfolio, completely cloud-based and consistently designed for scaling.

SAP Cloud ERP is attractive for platform providers for several reasons. Core processes for finance, controlling, subscription billing and revenue recognition are available as best practices. The SAP Business Technology Platform allows scenarios to be expanded in a targeted manner without bending the core standard.

Billing is largely automated. Recurring sales, variable fees and revenue shares can be modeled with clear rules. Once these rules have been clearly defined, invoicing and distribution are largely automatic.

Integration capability is another key factor. Modern interfaces facilitate the connection of the platform, billing systems and other applications. The ERP becomes a stable backend for financial flows and reporting, not a bottleneck.

The mapping of compliance requirements also plays a central role for internationally growing platforms. Multiple currencies, country-specific tax logic and reporting obligations can be mapped in the standard. This makes it much easier to enter new markets.

Thanks to in-memory technology, important key figures are available in real time. Turnover, contribution margins, partner and contract performance or churn can be viewed in dashboards and KPI models. Decisions are based on current data, not estimates.

AI in practice: SAP Joule and intelligent processes

Things get exciting when business AI is added to the stable process basis. With SAP Joule as an AI assistant, a new lever comes into focus: fewer manual analyses, fewer searches in reports, less “Excel detective work”.

Typical examples from platform finance and operations:

  • Recognize deviations faster: Joule helps to make anomalies in fees, commissions or revenue recognition visible more quickly – for example, when patterns change or outliers occur.
  • Explainability instead of gut feeling: Instead of just seeing that the margin is falling, teams can understand more quickly where it is happening (e.g. certain contract models, regions or partner programs).
  • Speed up processes: AI-supported assistance can reduce queries, clarification cases or periodic activities (reconciliations, reports, analysis questions) because information is provided more quickly and in context.
  • Better decisions in day-to-day business: less time searching for data, more time for control – for example when adjusting fees, revenue sharing rules or partner conditions.

Important: AI does not work “on top” here, but on the basis of clean, standardized processes and data. This is precisely why cloud ERP is the prerequisite for AI to really deliver benefits in the platform business.

This makes SAP Cloud ERP the platform technology for your platform business: robust, scalable and future-proof.

How all4cloud supports platform providers

SAP Cloud ERP forms the technological basis. The decisive factor is how well this platform fits your specific business model. This is exactly where we, the all4cloud Group, come into play.

With platform-business4cloud, all4cloud has developed a preconfigured ERP template specifically for platform providers. This template contains complete process chains that are geared towards the requirements of a platform business. This includes processes from partner creation, contract logic and sales distribution through to invoicing and reporting. Everything is designed end-to-end and implemented in SAP Cloud ERP.

We also provide best practices from real platform projects. We are familiar with typical contract constellations, frequent stumbling blocks in revenue distribution and tried-and-tested patterns for revenue sharing. This knowledge is incorporated into the template and reduces your project costs.

Instead of starting from a completely blank canvas, start with a blueprint that is already tailored to platform business. Customizations focus on what makes your model truly special.

all4cloud also provides integration expertise. We support you in the design and implementation of your integration architecture. This includes connecting the platform core, billing systems, payment providers and other services. The goal is a clean, documented and updateable interface landscape.

What’s more, we consistently think automation through to the next steps – including Business AI and Joule use cases along your finance and platform processes. The result is not just a “modern ERP”, but a basis for continuous process optimization.

The support does not end with the go-live. From architecture and implementation, migration and testing to training, go-live support and ongoing support, for example with care4cloud, you receive everything from a single source.

SAP Cloud ERP and platform-business4cloud thus create a solution that feels as if it had been developed specifically for your platform company.

Holidu: From a growing SME to a scalable platform

What does this look like in practice? An illustrative example is Holidu, a fast-growing vacation rental agency with a platform model.

Holidu grew rapidly in a short space of time. More markets, more bookings and more partners characterized the development. The existing ERP landscape was no longer able to keep up with this pace in the medium term. Rising transaction numbers met with limited scalability. International expansion led to additional tax and legal requirements. At the same time, the mapping of complex billing and commission models became increasingly complex.

The company was faced with a clear question: How can an ERP basis be created that will support platform growth in the coming years instead of slowing it down?

The decision was made in favor of SAP Cloud ERP. Together with us, a transformation project was launched that was based on the byd2suite4cloud approach.

In this project, we worked with Holidu to develop a target image for financial and billing processes. The migration from SAP Business ByDesign to SAP Cloud ERP was planned and implemented. Integrations to the platform and other systems were set up. Processes for reporting and controlling were standardized and automated.

Today, Holidu has an ERP platform that processes growing data and transaction volumes with high performance, meets international requirements and offers significantly more transparency regarding revenue streams, contract models, partner programs and contribution margins. At the same time, the solution is ready for further automation steps and functions in the area of business AI – such as assisted analyses and faster clarification of deviations.

The ERP basis no longer slows down growth. It actively supports it.

Why now is a good time

Many platform providers are currently at a turning point. The business model is working, the market is there, the growth is real. At the same time, it is becoming increasingly clear that the existing IT architecture cannot support this growth indefinitely.

This is precisely why it is now worth taking a look at SAP Cloud ERP. On the one hand, cloud maturity in the midmarket has increased significantly. Experience, best practices and references are available, especially for platform companies. You don’t have to reinvent the wheel.

On the other hand, SAP offers clear transformation paths. With solutions such as SAP Cloud ERP and migration approaches such as byd2suite4cloud, there are tried and tested paths from existing SAP or non-SAP systems to the cloud.

There is also a competitive advantage. Those who have reliable figures more quickly, manage pricing and partner programs based on data and can test and roll out new models quickly will gain a head start. And those who also use AI-supported assistance such as SAP Joule gain speed in analysis and control, reduce manual effort and react more quickly to deviations.

Platform business requires the right platform technology. Legacy systems that are difficult to integrate and become more complex with every step are a poor long-term fit for a digital platform company.

With SAP Cloud ERP and a specialized partner, platform growth becomes plannable, efficient and secure.

You want to scale your platform

You recognize your company in many of the points described. Your platform business is growing, but you feel that the current ERP and IT architecture is reaching its limits.

Then now is a good time to consider both together. Business strategy and IT strategy belong at the same table before growth becomes a permanent burden.

Let’s take a look together at what a suitable cloud ERP architecture for your platform business could look like. From partner billing and international expansion to the integration of your existing systems – and including a roadmap of how AI-supported processes (e.g. with SAP Joule) can create real operational benefits.
